Guidelines for symposia presenters

Please find below important information regarding symposium presentations, including relevant specifications, tips and guidelines to follow. For any queries, please contact the Conference Secretariat at scientific@theunion.org.

  • General Information
    • The 51st Union Conference on Lung Health will be fully virtual. All registered participants will attend using their desktop computer, laptop, mobile phone or tablet.
    • Speakers have been sent the date and time of their assigned symposia. The time indicated is Central European Summer Time (CEST).
    • All participants, including chairs and speakers, must register for the conference.
    • All presentations will be pre-recorded. Find out about the upload and recording processes.
  • Presentation Guidelines
    • Speakers must present the information that was described in the synopsis of their presentation
    • The Union is committed to promoting person-centred, non-stigmatising language in all materials and therefore requests that speakers follow the guidelines laid out in the Stop TB Partnership’s publication, Suggested Language and Usage for Tuberculosis Care, Communications and Publications
    • Speakers must prepare PowerPoint slides starting with a conflict of interest disclosure declaration.The presentation should be formatted in 16:9 (File > Page Setup > “Slide sized for: On-screen Show 16:9”). The content must be in a high resolution to ensure that the content is clearly readable.
    • Presentation slides should be clear, well-organised, informative and concise, especially as the audience will be remotely based.

    • Speakers must upload their slides by 14 September using the dedicated platform (an invitation with further instructions has been sent to speakers).
    • Speakers need to book an appointment to record their presentation with a producer on 22, 23, 24 or 25 September according to the slots available and on a first-come, first-served basis.  Speakers need a working computer, microphone, camera, a good internet speed and to be in a well lit and quiet space. The equipment usually used for video meetings via Zoom, MS Teams, etc. is adequate. A member of our team will be there to guide presenters through the entire recording process.
    • Speakers must keep to their allocated presentation time limit. Presentations that extend beyond the time limit assigned will be truncated.

    Important note: All speakers must attend their recording slot at the exact date and time confirmed for the recording of their presentation. Speakers who miss their recording appointment will not be offered another appointment option.

    All presentations will be broadcast at the scheduled date and time. Presentations will then be available on demand until 30 November.

  • 80-minute symposia with live Q&A

    Symposia chairs will be requested to prepare a live introduction of their session and speakers as indicated in their session details. Speakers will not have any slides during this live component. Chairs will be contacted with more information ahead of the conference.

    Speakers and chairs are required to be online and attend the live session, and then be available to answer potential questions from the audience during the live Q&A. Should a speaker not be able to join the live session, they must inform the Conference Secretariat and the session chair(s) ahead of time, and ensure that one of the session stakeholders or a colleague will respond on their behalf.

  • 60-minute Symposia WITHOUT live q&A TIME

    Symposia chairs will be requested to prepare a pre-recorded slide introducing their session and the session speakers. They will need to book an appointment for a recording of their introduction through the Speaker Portal.

    After their session has been posted online, speakers and chairs are able to interact with conference participants through a written comment section. Details about the process will be shared at a later stage. It is the responsibility of the speakers and chairs to make sure the queries in the comment section are addressed until the close of the conference.

  • Speaker REGISTRATION

    All speakers and chairs need to register for the conference. Find out about registration fees and conditions. Please send any questions about registration to registration-theunion@urevent.fr.
